Privacy notice
This notice covers personal data submitted through the BES Security Rota volunteer application form and held in the rota system.
What we collect
- Name, contact details, address (town and postcode), date of birth.
- BES membership status and any prior CST training.
- Emergency contact name and phone.
- Your availability preferences and how you heard about us.
- Application timestamp and submitting IP address (for abuse prevention).
Why we collect it
To assess your application, allocate you to a team, and contact you about training and shifts. Lawful basis: legitimate interests in running a community security volunteer rota, with explicit consent for processing captured at the form.
Who sees it
The BES security committee (coordinators and administrators) and, once you're allocated, your team leader. We do not share application data with third parties except CST for training enrolment.
How long we keep it
Active volunteers: for the duration of volunteering plus seven years of rota history. Declined applications: 12 months from decision, then hard-deleted. You may request earlier deletion by writing to security@bes.org.uk.
Your rights
You have the right of access, rectification, erasure, restriction, and to object to processing. Once your account is active you can export your data from your profile page. Contact security@bes.org.uk for any other request.
